How to export a backup archive of your mailbox in Outlook 2011 for Mac

Below are the steps detailing how to export a backup copy of your mailbox data using Outlook 2011 for Mac. Exporting an archive will take a copy of your mailbox and export it to your computer’s hard drive. Data will not be removed from the server, you will only be making a copy of it.

  1. Launch Outlook
  2. Click File > Export
  3. In the Export window:
    1. Select the option “Outlook for Mac Data File (.olm)”
    2. Select the option “Items of the following types:”
    3. Check the boxes for all of the item types you want to back up.
  4. Click the right arrow to continue.
  5. Select the option “No, do not delete items”
  6. Click the right arrow to continue
  7. Enter a file name and choose the location where you would like to save your file.

Depending on the size of your mailbox, this process can take anywhere from several minutes to over an hour. Once the process has completed, you will have a local copy of your mailbox and its data on your computer.
