Edit Distribution Group

This document explains how to edit an existing Email distribution list for hosted Exchange 2010.  Distribution groups allow you to send emails to a group of people by sending the email to one Exchange Mailbox.  Typically distribution lists are used for projects, teams or even departments within your organization.  When an email is sent to a distribution group, the email is forwarded to every member of that group.  You will need to edit a distribution group if you need to add a new member to the group, or remove a member from the group.  After editing a distribution group, you can test the new distribution group by sending an email to that distribution group, and then having the new members of the group check their email inbox to verify that they received the email.

We will look at adding and removing members to a distribution group, who the distribution list can accept messages from, assign alias email addresses to the distribution list, and granting send permissions to mailboxes for the distribution list.

Edit Distribution Group

  • From the Exchange tab, select Distribution Lists tab

  • Select the Distribution List you want to edit by clicking on the name under the Display name field
  • Select the Members tab.  Select Add New Member to add someone to distribution list

  • Select the Mailbox or Contact you wish to add by selecting the check box next to the name, and select Submit

  • The screen will show that the member has been added, and next to the member the status will show Creating

  • To remove a member from a Distribution List, select the member with the checkbox, and select Delete

  • You will see a confirmation screen.  Select OK

  • Now the screen shows that member is scheduled for deletion

  • You can also change who the distribution list can accept messages from by selecting the Security tab and selecting Edit

  • Select the correct radio button to accept messages from Everyone (default), Organization or Members.  Select Submit

  • You can also assign alias email addresses to the distribution list email address.  Select the Email addresses tab, and select Add New Email Address

  • Type in the email address and select Submit

  • Finally, you can grant send permissions to mailboxes for the distribution list.  Select the Permissions tab, and select Grant Permissions

  • Under the Send permission column, select the drop down box.  You have unassigned (Not Assigned), Send As, and Send On Behalf permissions.  Select the permissions you want and select Submit.

  • The screen will show the new permissions.

  • To remove the permissions just granted, select the members’ checkboxes, and select Revoke permissions

  • A confirmation message will appear

  • Select OK.  The screen will show the permissions revoked
