How to Backup a SharePoint Site Using Office Sharepoint Designer

Posted: Monday, July 19th, 2010 by Gene

SharePoint Designer allows you to backup your entire Windows SharePoint Services site and subsites unto a content migration package, or .cmp file.  To follow the Backup and Restore with a .cmp file procedure, you must have SharePoint administrator permissions to your site.

Note: Some customizations or settings may be lost in the backup file. For example, the backup file does not include workflows, alerts, and properties stored at the site collection level. The backup file also does not include the Recycle Bin state or objects inside it.

  1. On the File menu, click Open Site.
  2. In the Open Site dialog box, type in the name of your sharepoint site, and then click Open. For example this might be http://sharepoint.domainname.com or http://portal.domainname.com.
  3. When prompted for your username and password, fill that information in. This is the same email address and password used when accessing Outlook Web Access. Click OK.
  4. Once the the site is loaded, click on the Site menu, point to Administration, and then click Backup Web Site.
  5. In the Backup Web Site dialog box, select the Include subsites in archive check box.
  6. If the current Web site is low on available storage space, click Advanced, enter a new location, and then click OK.
  7. In the Backup Web Site dialog box, click OK.
  8. In the File Save dialog box, select the location where you want to store the .cmp file.
  9. In the File name box, type the name for the file, and then click Save.

If the site that you are backing up or restoring is large, the process can take quite a while. For other useful tools and instructions on using Office Sharepoint Designer, please see visit Microsoft’s SharePoint Designer website at: http://office.microsoft.com/en-us/sharepoint-designer-help
