Outlook 2013 — Backing up your mailbox

This article explains how to backup your mailbox in Outlook 2013.  It is recommended that you back up your mailbox when you move to a new computer, when you are upgrading your system, or when you are upgrading or changing mail clients.  It is also recommended to backup your mailbox before a mailbox migration initiated by your Hosted Exchange Provider.  Here are the steps for backing up your email mailbox.

In Outlook 2013 – Click the File Tab, click Open & Export, and click Import/Export.

Click Export to a file, and then click Next.

In the list, click Outlook Data File (.pst), and then click Next.

Click the top level which shows your email address. Select the Include Subfolders check box, and then click Next.   This will back up your entire mailbox.

Under Save exported file as, click Browse, and then specify a name and location for your backup file, for example, backup.pst.  You might also want to put a date on the file name so you know when it was backed up.

If you back up a .pst file that you have backed up to before, click one of the following:

  • Replace duplicates with items exported: Existing data will be overwritten with the information in the file being exported.
  • Allow duplicate items to be created: Existing data will not be overwritten, and duplicate information will be added to the backup file.
  • Do not export duplicate items: Existing data will be kept, and the duplicate information in the folder will not be copied to the backup file.

In our case, we want to replace duplicates with items exported (which is the default), so we select that option.  Click Finish.

You have successfully backed up your email mailbox.
